Real workflows, real operational leverage

A look at the kinds of recurring, judgment-heavy workflows we have already taken from spreadsheets and memory into governed, auditable systems.

ComplianceHub

From spreadsheet-heavy compliance to governed monthly filings

A compliance-heavy professional services team was managing recurring HR, payroll and regulatory filings for client companies — multiple input files, government-prescribed formats, month-end deadlines and manual reconciliation across spreadsheets.

Every month, the team had to transform employee, salary, leave and attendance data into statutory outputs including Forms T, F, H, D, A and 11. In parallel, STPI-related compliance created recurring client-wise submissions, supporting files, performance reports and upload tracking.

OkCheetah built ComplianceHub — a workflow platform that converts recurring spreadsheet-driven compliance into a structured, auditable process.

  • Client-wise dashboard for active clients, pending submissions and recent uploads
  • Upload workflow for monthly payroll and employee master files
  • Deterministic statutory-form generation engine
  • Submission history across client, period, generated reports and status
  • STPI workflow layer for recurring submissions and supporting files
  • Validation checks for employee counts, salary totals, deductions and leave records
  • Template-driven outputs in familiar government-prescribed formats

Before
  • Manual copying across files
  • Repeated formatting work
  • Difficult reconciliation
  • Informal compliance tracking
  • Dependency on specific operators
After
  • Monthly inputs uploaded in one place
  • Forms generated from mapped data
  • Submission status visible by client and period
  • Historical reports available from one dashboard
  • Exceptions surfaced before filing

Outcome

The product is live with the client and used for real compliance operations. It reduces the recurring burden of preparing statutory and regulatory filings and creates a foundation that can scale across more forms, states and clients.

“We converted a monthly compliance ritual into a repeatable system — upload the data, validate the numbers, generate the forms, track the submission.”

Legal Mail Tracker

Making physical document movement visible inside law firms

Law firms still depend heavily on physical documents — original agreements, signed copies, notices, affidavits, couriered letters, returned acknowledgements and client-signed paperwork moving between lawyers, clerks, clients, counterparties and courier providers.

The firm’s physical mail workflow was being managed through memory, spreadsheets, phone calls and WhatsApp. That worked at low volume, but became fragile as cases and mail items grew.

OkCheetah built a physical mail tracking module designed specifically for legal workflows, with ownership, reminders and case-linked status from drafted through received.

  • Client and case linkage
  • Sender and recipient details
  • Internal owner
  • Courier partner and tracking number
  • Sent date and expected return / follow-up date
  • Signed-copy or acknowledgement tracking
  • Reminder settings and current status tracking
Before
  • Document tracking across people, chats and spreadsheets
  • Manual follow-ups
  • No reliable case-linked trail
  • Hard to know what was pending return
After
  • Every mail item has an owner, status and due date
  • Courier and return tracking linked to the relevant case
  • Follow-ups become tasks, not memory
  • Returned signed copies can be marked received
  • Searchable history of physical document movement
Outcome

The firm gained a structured operational layer for something most legal-tech tools ignore: the messy, real-world movement of paper. The work did not need “AI magic” — it needed product judgment, clear ownership and a system the team actually uses.

“We turned physical mail from an invisible back-office dependency into a tracked, accountable legal workflow.”

Loyalty over WhatsApp

Turning walk-ins into a personalized loyalty program for jewellery and mobile stores

Small retail chains in jewellery and mobile categories were trying to run loyalty the manual way — owners keeping records of who walked in, then reaching out one by one on WhatsApp before festivals or specific occasions. A lot of customer context was lost between the counter, the register and the owner's phone.

OkCheetah automated the entire loop. Customers register themselves by scanning a QR code at the store. Store owners log interest and purchase value directly from WhatsApp — no app to learn, no separate POS workflow. Points accrue automatically on every visit and purchase.

On top of that sits a personalization engine: offers, point structures and delivery cadence are driven by the store's own easy-to-understand objective — repeat visits, basket size, festival pull — and pushed to the right customer at the right time, automatically.

  • QR-based customer self-registration at the counter
  • WhatsApp-native capture of customer interest and purchase value
  • Visit and purchase history auto-attached to each customer
  • Configurable point structure aligned to the store's objective
  • Automated personalized offers around festivals and occasions
  • Auto-delivery of offers over WhatsApp — no manual broadcast lists
  • Owner dashboard for repeat customers, redemptions and revenue lift

Offers
Before
  • Customer details scribbled in registers or lost at the counter
  • Owners manually messaging customers on WhatsApp before festivals
  • No record of what each customer was looking for
  • Offers sent to everyone, with no personalization
  • Repeat-customer behaviour invisible to the owner
After
  • Every walk-in captured via a single QR scan
  • Purchase value and interest logged from WhatsApp in seconds
  • Points awarded automatically on each visit and purchase
  • Personalized offers triggered by occasion, interest and history
  • Owner sees who's returning, who's lapsing and what's working
Outcome

Store owners stopped losing customer context between the counter and their phone. Loyalty became a system, not a memory exercise — with personalized offers going out automatically on the channel customers already use every day.

“The owner doesn't need a new app. A QR at the counter and a WhatsApp chat is the entire loyalty program — everything else runs on its own.”
